The Silent Engine Takeover
Your business has grown. Now it's time to rebuild the operations behind it.
An operational rebuild for established service businesses that have outgrown the systems, workflows, and processes holding everything together, completed in 60 days or less.
$6,000 · 60 days or less · Pay upfront or in installments
You have built something real. The operations just haven't kept up.
You have clients. Revenue is coming in. There may be a team helping you deliver the work.
But too much of the business still depends on what you personally know.
Your team asks you what happens next. Client onboarding changes depending on who's handling it. Processes exist, but aren't consistently documented or followed. Your tools technically work, but the information and workflows between them don't.
And every time the business grows, another workaround gets added to keep things moving.
At this stage, another template or isolated automation isn't enough.
The operational infrastructure behind the business needs attention.
That's what The Silent Engine Takeover is for.
Instead of asking you to diagnose every problem and tell me exactly what to build, I look at how your operations are working now, identify the priorities, and rebuild the agreed systems, workflows, automations, and documentation within 60 days or less.
You keep running the business.
I take ownership of the operational rebuild.
This Is Bigger Than One Build
If you already know exactly what system, workflow, or automation you need, The Backend Build is probably enough.
If you specifically want Airtable to become the central system for your business information and workflows, Custom Airtable Build is the better fit.
The Silent Engine Takeover is different.
It's for businesses where several operational pieces affect each other and fixing one in isolation won't solve the larger problem.
Maybe onboarding needs to change, but that also affects your CRM, project management setup, client communication, team responsibilities, automations, and documentation.
Instead of treating each piece as a separate project, we look at the operation together, establish the priorities, and build the infrastructure those priorities require.
What We May Rebuild
Your exact scope is determined by the audit and approved priority plan. Depending on what your business needs, the engagement may include:
Core workflows
Map and standardize the recurring processes that keep client delivery and internal operations moving.
Systems and tools
Clean up, configure, or restructure the platforms supporting those workflows.
Automations and integrations
Connect appropriate steps between your tools so information and actions can move without unnecessary manual handoffs.
Client onboarding and offboarding
Create a consistent process your clients and team can follow from one engagement to the next.
Team processes
Clarify how recurring work moves, where information belongs, and what team members need to move work forward.
SOPs and documentation
Document the processes and systems included in the rebuild so the finished operation doesn't depend on information living only in your head.
The goal isn't to add more systems. It's to make the operational pieces you need work together more intentionally.
The Process
How the Takeover Works
Audit
We start by looking inside your current operations. I review the systems, workflows, tools, documentation, and recurring processes relevant to the engagement so we can see what's working, what's creating friction, and what needs attention first.
Priorities + Plan
Next, we turn the audit into an approved build plan. We'll confirm what gets addressed, what isn't part of this engagement, and the order in which the work will happen. Once that plan is approved, I take ownership of moving the project forward.
Build
I begin implementing the approved priorities. Depending on your scope, that may mean restructuring systems, building workflows, setting up automations, standardizing client processes, creating documentation, or connecting tools that currently operate separately. I'll keep you updated asynchronously as major pieces are completed.
Refine + Complete
The remaining priorities are completed and the systems included in the engagement are reviewed before handoff.
Document + Handoff
By the end of the engagement, within 60 days or less, the completed work is documented and prepared for handoff. You'll receive a full written report covering everything built, along with a video walkthrough showing how the finished setup works, plus 10 business days of Slack support after handoff for questions on what was built.
What Changes When the Operations Behind the Business Are Clearer
The goal isn't a business that never needs you. It's a business that doesn't need you to personally hold its operations together.
The Silent Engine Takeover Is a Good Fit If...
- Your business has grown beyond the systems and processes that got you here.
- Several parts of your operations need attention, and they affect each other.
- You're still the default source of information or direction for too many recurring processes.
- You don't want to diagnose every operational issue and manage a collection of separate implementation projects yourself.
- You're ready to give me access to the business, agree on the priorities, and let me take ownership of the approved rebuild.
If you already know exactly what needs to be built and only need implementation, The Backend Build will likely be the better fit.
Frequently Asked Questions
Do I need to know exactly what needs fixing before we start?
No. That's one of the main differences between The Silent Engine Takeover and The Backend Build. You need to know that your current operations aren't supporting the business the way they should. The internal audit helps us identify the specific priorities and determine what should be addressed during the engagement.
Does everything in my business get rebuilt?
Not necessarily, and it shouldn't. The purpose of the audit is to determine what actually needs attention. We'll agree on the operational priorities and scope before implementation begins so the engagement stays focused on the work that matters most.
Can the scope change during the engagement?
The approved priorities are established before the build begins so the project has a clear delivery plan. If something outside that scope comes up, we'll document it and determine the appropriate next step rather than continuously expanding the project during implementation.
How involved do I need to be?
I need your input during the audit and priority-setting process, along with access to the relevant tools, information, and people. Once the build plan is approved, I take ownership of implementation. I'll communicate asynchronously throughout the project and bring you in when I need a decision, clarification, or approval.
How will I know the project is on track?
You'll receive async updates as major pieces of the build are completed. The final handoff, with a full written report and a video walkthrough, takes place within 60 days or less.
What happens after the engagement is complete?
You'll receive the completed work included in your scope, a full written report, and a video walkthrough, plus 10 business days of Slack support afterward so you and your team understand what was built and how it works.
